ScreenClear Testing Services (“ScreenClear,” “we,” “us,” or “our”) operates screenclear.ca, an online platform for booking certified drug and alcohol testing at approved testing locations across Canada. Because our service involves test results — information about your health — we hold ourselves to a high standard of privacy protection.
This policy explains what personal information we collect, why we collect it, how we use and disclose it, and the choices and rights you have. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
1. Who this policy covers
This policy applies to:
- Individuals who book, pay for, or undergo a test through ScreenClear;
- Employers and third parties who book tests on someone’s behalf or receive results with the test recipient’s authorization;
- Testing providers and practitioners who apply to join or operate within the ScreenClear network;
- Visitors to screenclear.ca.
2. Information we collect
From individuals booking or taking a test
- Identity and contact information: full name, date of birth, email address, and phone number of the person being tested (whether entered by that person or by an employer booking on their behalf).
- Booking details: the test type selected, testing location, appointment date and time, and any reference number you choose to provide (for example, a court or file reference).
- Payment information: payments are processed by a third-party payment processor. We do not store full payment card numbers on our systems. We retain transaction records (amount, date, confirmation reference).
- Test results: the outcome of your test, recorded by the administering practitioner. A negative result generates a certificate containing your name, the test date and type, the result, the issuing practitioner’s name and signature, the testing location, a unique certificate number, and a QR code linking to an online verification page. A presumptive positive result is recorded confidentially; no certificate is issued, and the sample may be sent for laboratory confirmation. Test results are sensitive health information and are treated with heightened safeguards.
- Authorized recipients: if you (or the person booking for you) designate an employer, lawyer, or other contact at checkout, we collect that recipient’s name and email address in order to deliver the certificate as authorized.
From testing providers and practitioners
- Application information: business or organization name, contact name, email, phone, facility address, operating hours, facility type, business or pharmacy licence number, accreditation body, staffing and facility details, and website.
- Practitioner credentials: professional credential and licence documents (for example, pharmacy licences, nursing registrations, occupational health certifications) and practitioner signatures, submitted for verification. Credential review is performed through a combination of automated (AI-assisted) and manual review by our team.
- Operational records: availability, bookings handled, results recorded, and testing supply records associated with the provider account.
Collected automatically
- Technical information: IP address, browser type, device information, pages visited, and approximate location derived from postal code searches or, if you choose to share it, your device’s geolocation (used only to show nearby testing locations).
- Cookies: we use cookies necessary for the site to function and, where enabled, analytics cookies to understand how the site is used. You can control cookies through your browser settings.
3. Why we collect it
We collect, use, and disclose personal information to:
- Process bookings, payments, and appointment scheduling;
- Enable the administering practitioner to record your test result and issue your certificate;
- Deliver certificates to you and to recipients you have authorized;
- Operate the online certificate verification service (see section 5);
- Arrange laboratory confirmation of presumptive positive results where applicable;
- Review, approve, and audit testing providers and practitioner credentials;
- Provide customer support and respond to inquiries;
- Detect and prevent fraud, misuse, and security incidents;
- Meet legal, regulatory, and audit obligations;
- Improve the platform.
We do not sell personal information. We do not use test results for advertising or marketing.
4. Consent
We collect, use, and disclose personal information with your knowledge and consent, except where otherwise permitted or required by law. By booking a test, you consent to the collection and use of your information for the purposes above. When an employer or other party books a test on your behalf, the practitioner will confirm your identity at the appointment, and your participation in testing constitutes your consent to the processing described here. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice — though withdrawing consent may mean we cannot complete a booking or issue a certificate.
5. Certificate verification pages
Each certificate carries a unique certificate number and QR code linking to a verification page. Anyone in possession of the certificate (or its verification URL) can view that page, which confirms the certificate’s authenticity and displays the certificate details, including the recipient’s name, test date, test type, and result. Verification pages are not indexed, listed, or searchable — they can only be reached by someone who has the unique link or QR code, which you (or your authorized recipients) control. Do not share your certificate or its verification link with anyone you do not wish to see it.
6. When we disclose personal information
We disclose personal information only:
- To the testing provider and practitioner administering your test, to the extent needed to deliver the service;
- To recipients you designate (for example, an employer contact entered at checkout), who automatically receive a copy of a negative certificate when issued;
- To laboratories, where a sample is referred for confirmation testing;
- To service providers who support our operations (payment processing, email delivery, cloud hosting), under contractual obligations to protect the information and use it only to provide services to us;
- Where required or permitted by law, such as in response to a court order, subpoena, or lawful request by authorities, or where necessary to protect our legal rights.
ScreenClear does not proactively contact courts, lawyers, probation officers, employers, or regulators about your results. Results go only to you and the recipients you authorize, unless we are legally compelled otherwise.
Some of our service providers may store or process information outside of Canada. Where that occurs, the information is subject to the laws of that jurisdiction, and we use contractual safeguards to require comparable protection.
7. Retention
We retain personal information only as long as necessary for the purposes described above and to meet legal, regulatory, audit, and chain-of-custody documentation requirements. Certificates and their verification records are retained so that issued certificates remain verifiable. Provider application records are retained for the duration of the provider relationship and for a reasonable period afterward. When information is no longer required, it is securely deleted or anonymized.
8. Safeguards
We protect personal information with safeguards appropriate to its sensitivity, including encryption in transit, access controls limiting who can view test results, logging of access to sensitive records, and contractual confidentiality obligations for providers, practitioners, and service providers. Practitioners can access only the records associated with tests they administer. No system is perfectly secure; if a breach of security safeguards creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.
9. Your rights
You have the right to:
- Access the personal information we hold about you and receive an account of how it has been used and disclosed;
- Correct inaccurate or incomplete information;
- Withdraw consent to further collection, use, or disclosure, subject to legal and contractual restrictions;
- Ask questions or make a complaint about our privacy practices.
To exercise any of these rights, contact our Privacy Officer (below). We will respond within the timelines required by law and may need to verify your identity before releasing information. Note that we cannot alter a recorded test result or an issued certificate, as their integrity is the basis of the service; if you dispute a result, contact us and we will explain the confirmation and review process.
10. Minors
Our services are intended for individuals of the age of majority. Where testing of a minor is required (for example, by court order), booking must be completed by a parent, guardian, or authorized party, and provincial consent rules apply.
11. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be posted prominently on the site. Continued use of the platform after changes take effect constitutes acceptance of the revised policy.
